Meeting Logistics, LLC (the “Company”) values your privacy and provides this Privacy Policy (the“Privacy Policy”) to describe the ways in which the Company collects, uses, and shares users’ (each, a “User”) personally identifiable information through our website and from other sources to operate our business and for the event and meeting planning services we provide (the "Services") for our clients ("Clients"). Unless specified otherwise, the words “we”, “our” or “us” in this Privacy Policy are referring to the Company and the words "you" or "your" in this Privacy Policy are referring to Users.

1. THE INFORMATION WE COLLECT

1.1 Direct INTERACTIONS

When using or interacting with us through the Services, we collect Users' personally identifiable information. This will normally be on behalf of a Client using our Services to organize an event. Users must consent to us collecting their personally identifiable information before accessing our Services.

For all Users, we gather personally identifiable information when you voluntarily give such data to us to enable us to provide the Services, e.g., when you register/sign up to use the Services, use the Services (such as when you attend or participate in one of our events), send an inquiry, access a resource provided by us or interact with our Services in any other way. Depending on the purpose for collection, the personally identifiable information we may collect includes, but is not limited to, your name, address, email address and other information. In addition, we may collect personally identifiable information when you interact with Clients which may provide such information to us for the purpose of the Services. We may also collect personally identifiable information from our service providers and business partners, or when you submit an application for employment or become employed by the Company.

1.2 INDIRECT AND AUTOMATIC INTERACTIONS

We may automatically collect certain types of personally identifiable information whenever you interact with us, such as in some e-mails we may send each other and through our website or websites related to the Services. This can include your preferences (like, language and the location you are in). We may also collect information about your visits to our website or websites related to Services, such as, the length of visits to certain pages and page interaction information.

We may also collect information about Users by storing a unique identifier for analytics purposes or for storing Users' preferences. We may also automatically collect certain information when Users visit the Services, including site analytics, Users' IP addresses, site usage data, browser name, the type of computer and technical information about Users’ means of connection to our Services, such as the operating system and the Internet Services providers utilized and other similar information. 

Automatic technologies we use to collect such information may include web server logs, cookies, pixels  and web beacons, which do not automatically obtain your personally identifiable information. Only if you voluntarily submit personally identifiable information, such as by registering or sending e-mails, can these automatic tracking technologies be used to provide further information about your use of websites to improve their usefulness to you. If you wish to prevent cookies from tracking you anonymously as you navigate websites, you can reset your browser to refuse all cookies or to indicate when a cookie is being sent.

2.HOW WE USE USERS' PERSONALLY IDENTIFIABLE INFORMATION

Your relationship with the Company determines how we use your personally identifiable information. The Company collects and uses Users' personally identifiable information and other information for purposes, including:

(a)  To register your User account.

(b)  To personalize the User experience. We may use personally identifiable information in the aggregate to understand how our Users as a group use the Services and resources we provide.

(c)  To process event-related transactions, including meeting registrations, ticket purchases and hotel bookings. We may use the personally identifiable information Users provide about themselves when placing an order only to provide Services to that order. We do not share this information with outside parties except to the extent necessary to provide the Services.

(d)  To communicate with you and Clients.

(e)  To provide support and improve our Services. We may use your personally identifiable information when providing you with technical support and to improve our Services.

(f) To comply with applicable reporting rules of Clients and applicable laws (e.g., transparency reporting).

(g) To maintain and develop our business or professional relationship with you (as applicable).

3.HOW WE PROTECT USERS' PERSONALLY IDENTIFIABLE INFORMATION

(a)  We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personally identifiable information, username, password, transaction information and data, including personally identifiable information that may be stored as a result of your use of our Services.

(b)  We will endeavor to facilitate sensitive and private data exchange between the Services and its Users over industry standard encryption technology.

(c)  While we endeavor to protect your personally identifiable information, we cannot guarantee the security or privacy of your personally identifiable information. You agree to transmit your personally identifiable information solely at your own risk.

(d)  We will investigate and respond to data breaches within a reasonable time of becoming aware of such breach and in accordance with applicable laws.

4.HOW WE DISCLOSE AND/OR SHARE USERs' PERSONALLY IDENTIFIABLE INFORMATION

(a)  We may use third party services providers to help us operate our business and the Services or administer activities on our behalf, such as sending out surveys. We may share your personally identifiable information with these third parties for those limited purposes.

(b)  We may share personally identifiable information with our software developers, system integrators, and payment processors, subject to our safeguards and protective measures.

(c)  When you register for an event through the Services, we provide the personally identifiable information entered on the applicable event to the Client sponsoring such event. In some instances, the Client may appoint a third party, which may or may not be affiliated with the Client, to which the Client directs us to provide your personally identifiable information on behalf of the Client. It is important that you review the applicable policies of the Client, and if applicable and available, the Client’s appointed subsidiaries or other third-parties related to the event before providing personally identifiable information or other information.

(d)  We may disclose personally identifiable information if required by law or when we deem it necessary in an emergency situation.

(e)  In the event of a corporate sale, merger, reorganization, dissolution or similar event, personally identifiable information may be part of the transferred assets. You acknowledge and agree that any successor to or acquirer of the Company (or its assets) will continue to have the right to use your personally identifiable information and other information in accordance with the terms of this Privacy Policy.

Please note: We do not sell, trade, or rent Users' personally identifiable information.

5.HOW LONG WE RETAIN USERS' PERSONALLY IDENTIFIABLE INFORMATION

We may retain Users' personally identifiable information as long as you are registered to use the Services. Users may close their account by contacting us. However, we may retain personally identifiable information for an additional period as is permitted or required under applicable laws. Even if we delete Users' personally identifiable information it may persist on backup or archival media for an additional period of time for legal, tax or regulatory reasons or for legitimate and lawful business purposes.

6.THIRD-PARTY WEBSITES AND CONTENT 

Users may find content posted by other Users, advertising, or other content available from our Services that link to the sites and services of our partners, suppliers, advertisers, sponsors, licensors and other third parties (collectively, “Third Party Content”). We do not control the content or Third Party Content links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Services or content posted by other Users. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer services policies. Browsing and interaction on any other website or Third Party Content, including websites which have a link to our Services, is subject to that website's own terms and policies.

7.INFORMATION CORRECTION

If you believe the data we’ve collected on you is incorrect, you are encouraged to contact us to update it. You may request to have your data updated at any point by emailing us at privacy@mtglogistics.com.

8.Users' choices

The Company may require Users to provide certain personally identifiable information in order for you to, for example, register for Services. You could decide not to submit any personally identifiable information at all by not entering it into any forms or data fields and not utilizing such Services. If you decide to unsubscribe from a service or communication, we will work to remove your information promptly, although we may require additional information before we can process your request.

9.SUPPLEMENTAL NOTICE FOR CALIFORNIA RESIDENTS

For Users who are California residents, California law provides you with additional rights regarding the collection and use of your "personal information" under the California Consumer Privacy Act ("CCPA"). Personal information does not include:

  • Publicly available information from government records;
  • De-identified or aggregated consumer information; and
  • Information excluded from the CCPA's scope, such as personal information covered by certain sector-specific privacy laws, including the Fair Credit Reporting Act (FRCA).

Over the last 12months, the Company may have collected personal information from consumers in the following personal information categories: (1) identifiers (such as name, postal address, and email address), (2) personal information categories listed in the California Customer Records statute (Cal. Civ. Code § 1798.80(e)), (3)protected classification characteristics under California or federal law,  (4) commercial information, (5) professional or employment-related information, (6) internet or other network activity information, and (7) inferences drawn from other personal information.

We may obtain the personal information:

  • Directly from you or your agents;
  • Indirectly from you or your agents (i.e., in the course of providing Services);
  • Directly and indirectly from activity on our websites (for example, from submissions through our websites or from website usage details collected automatically); or
  • From third parties in connection with the provision of Services.

We may use the personal information collected for one or more of the business purposes described above in "How We Use Users' Personally Identifiable Information."

We may disclose and share Users' personal information as described above in "How We Disclose and/or Share Users' Personally Identifiable Information."

Subject to some limitations and exceptions, and subject to the verification of their identity, under the CCPA, consumers have the following rights:

  • To know about the personal information a business collects about them and how it is used and shared in the last 12 months;
  • To request that a business delete personal information collected from them;
  • To opt-out of the sale of their personal information (the Company does not sell your     personal information); and
  • To non-discrimination for exercising their CCPA rights.

In order for the Company to process a request for you to exercise your rights, the Company will first verify your identity by asking you to provide certain personal information. This may include a description of your relationship with the Company, your first and last name, email address ,telephone number and postal address or other personal information that will allow us to verify your identity. You may designate an authorized agent to exercise California privacy rights on your behalf in accordance with the CCPA. The Company may require that you provide the authorized agent with written permission to act on your behalf and that the authorized agent verify his or her identity directly with us.

We do not charge a fee to process or respond to your verifiable request unless it is excessive, repetitive or manifestly unfounded. If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.

When you submit a request to exercise your rights, the Company will do its best to respond to your request as soon as possible after we verify your identity, and, in any event, no later than 45 days after receiving your request.

10.Supplemental NOTICE TO USERs LOCATED IN THE EUROPEAN  Economic Area ("EEA")/United Kingdom("UK")

European Union("EU")  Regulation (EU)2016/679 (“EU GDPR”) and the Retained Regulation (EU) 2016/679 ("UKGDPR") (collectively, the "GDPRs") require the Company provide additional information to individuals in the EEA or the UK about the processing of their "personal data." If you are an individual located in the EEA or the UK, this Supplemental EEA/UK Notice applies to you in addition to the other applicable provisions in this Privacy Policy.

We will only use your personal data when the law allows us to do so. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform Services through the contract we are about to enter into or have entered into with you;
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests; and    
  • Where we need to comply with a legal or regulatory obligation.

We may also use your personal data in the following situations, which are likely to be rare:

  • Where we need to protect your interests (or someone else's interests); or
  • Where it is needed in the public interest or for official purposes.

Generally, we do not rely on consent as a legal basis for processing your personal data.

We will only use your personal data for the purposes for which we collected it, unless we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

The Company is based outside the EEA and the UK, so the processing of your personal data may involve a transfer of data outside the EEA or the UK. Whenever we transfer your personal data out of the EEA or UK, we ensure a similar degree of protection is afforded to it in accordance with applicable law.

Under certain circumstances, individuals located in the EEA or UK have the following data protection rights:

  • To access their personal data;
  • To correct their personal data;
  • To erase their personal data;
  • To object to the processing of their personal data;
  • To restrict the processing of their personal data;
  • To transfer their personal data;
  • To not be subject to a decision based solely on automated processing, including profiling; and
  • To withdraw any consent that they have previously provided for the processing of their personal data.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee or refuse to comply with your request if it is clearly unfounded, repetitive or excessive.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.  We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

11.ADDITIONAL INFORMATION FOR NEVADA RESIDENTS

Section 603A of the Nevada Revised Statutes permits Nevada residents who are Company "consumers" to at any time, submit a request to an "operator" of a website in Nevada directing the operator not to make any sale of any "covered information" the operator has collected or will collect about the consumer. The Company does not currently "sell" or plan to sell covered information as defined in the Nevada law. If you are a Nevada resident, you may submit a verified request by contacting us by sending an email to privacy@mtglogistics.com to opt out of sales and we will record your instructions and incorporate them in the future if our policy changes. We will respond within the time required by law.

12.CHANGES TO THIS PRIVACY POLICY

The Company reserves the right to make changes to this privacy policy at any time by giving notice to its Users on this page. It is strongly recommended to check this page often, referring to the date of the last modification listed at the bottom. If a User objects to any of the changes to the Policy, the User must cease using the Services and can request that the Company remove the personally identifiable information. Unless stated otherwise, the then-current privacy policy applies to all personally identifiable information the Company has about Users.

13.EXCLUSIONS

13.1. PERSONALLY IDENTIFIABLE INFORMATION PROVIDED TOOTHERS

This Privacy Policy does not apply to any personally identifiable information that you provide to another User or visitor through the Services or through any other means, including to Clients on event pages or information posted by you to any public areas of the Services.

13.2. THIRD PARTY LINKS

As a convenience to you, we may provide links to third-party services from within our Services. We are not responsible for the privacy practices or content of these third-party sites. When you link away from our Services, you do so at your own risk. This Privacy Policy does not create rights enforceable by third parties, nor does it require disclosure of any personal information relating to Users of the Services.

14.CHILDREN - CHILDREN'S ONLINE PRIVACY PROTECTION ACT

We do not knowingly collect personally identifiable information from children under the age of thirteen (13). If you are under the age of thirteen (13), please do not submit any personally identifiable information through the Services. We encourage parents and legal guardians to monitor their children's Internet usage and to help enforce our Privacy Policy by instructing their children never to provide personally identifiable information through the Services without their permission. If you have reason to believe that a child under the age of 13 has provided personally identifiable information to us through the Services, please contact us and we will delete that information from our databases.

15.STORAGE AND PROCESSING

If you are using our Services from outside the United States, please be aware that you are sending information (including personally identifiable information) to the United States where our servers are located. We may transfer information that we collect about you, including personally identifiable information, to affiliate entities, or to other third parties across borders and from your country or jurisdiction to other countries or jurisdictions around the world, but only in accordance with the terms and conditions of this Privacy Policy and in accordance with applicable law.

16.Effect of other notices

The Company and/or its Clients may have additional privacy notices or terms that are tailored and more specific for the different ways your personally identifiable information is collected. For example, employment applicants may also be provided with a separate privacy notice.

If you receive a privacy notice provided to you for a specific purpose, the terms of the more specific notice or contract will control to the extent that other notice differs or conflicts with this Privacy Policy.
