For the sixth consecutive year, Meeting Logistics delivered full-scale conference management services to a leading pharmaceutical cardiovascular care company at the European Society of Cardiology (ESC) Congress 2024, held in London, United Kingdom, from August 30 to September 2. This prestigious event brought together 31,800 global clinicians, researchers, and healthcare professionals, with over 5,000 faculty and presenters sharing the latest advances in cardiovascular medicine.
Our robust project management, initiated in late 2023, ensured the success of our client’s presence, which included exhibition participation, advertising sponsorships, and ancillary meetings and events. We meticulously manage all conference-related policies and guidelines, freeing our clients from the burden of logistical details so they can focus on their strategic goals.
A key factor in our success is strategic planning and staying ahead of critical updates, allowing us to secure exhibit spaces, housing, and other essential applications early. We develop detailed timelines to manage attendee communications and ensure that our clients are fully informed about cancellation policies, which can have significant budget implications if not handled correctly.
Throughout the planning process, we managed housing adjustments for over 80 attendees, including executives, business development, commercial, and medical teams, as well as a dozen UK-based sponsored healthcare professionals. We ensured the group was fully accommodated at a Paddington-based property with direct public transport access to ExCel London, the host venue for #ESCCongress.
Our attendee management services included overseeing the entire registration process. We provided personalized pre-registration communications and ensured seamless fulfillment of access codes, successfully allocating 67 badges to attendees in time for the congress.
Additionally, Meeting Logistics planned and executed an in-person and virtual business review meeting on the final day of the congress, attended by the client’s CEO, COO, and commercial and medical leads. This meeting provided an excellent opportunity for leadership to reflect on another successful ESC Congress.
